The healthcare industry presents unique challenges that go beyond the typical demands of software development. When you’ve been in the field for as long as we have—working on health projects for over eight years—you start to see patterns, uncover deeper insights, and develop a keen understanding of the industry's core pain points.

In healthtech, one of the most persistent issues we’ve encountered is the administrative burden faced by both providers and patients. Whether it's managing appointment schedules, processing patient intake forms, or navigating the nuances of therapy platforms, the demand for efficiency is paramount. Healthcare providers strive to optimize care, yet they often find themselves bogged down by repetitive, manual processes. Over the years, we’ve tackled these issues head-on, helping clients create solutions that streamline operations and ultimately improve patient outcomes.

Having worked closely with clients across various healthcare sectors, we’ve seen how to integrate AI and drastically reduce administrative workloads and improve service delivery in health without over-reliance on tools.

Let’s take a closer look at some of the projects where we applied this understanding, which led us to develop our own two products for healthcare called Expedoc and Coverage Compass.

1. Scheduling system for healthcare providers

Scheduling inefficiencies have long been a burden in healthcare. According to research, 68% of healthcare providers are forced to cancel or reschedule appointments between 1 to 10 times per month. This not only disrupts patient care but also impacts healthcare professionals’ productivity, leaving valuable time slots wasted and creating additional administrative tasks.

Our client, a company in the healthtech space, faced these exact challenges. Patients were waiting too long to book appointments, and frequent cancellations only added to the complexity. Without a dedicated internal team to address the issue, they turned to us for a solution.

We approached the problem by designing a robust scheduling system that streamlined the entire process. We were keenly aware of the consequences of an inefficient system—not only does it inconvenience patients, but it also drains resources from healthcare workers who could otherwise focus on care delivery.

Our solution was comprehensive. We were involved in the entire development process, from planning and refining the scheduling functionality to designing a seamless user interface (UI) and improving the overall user experience (UX). For us, it wasn’t just about building software—it was about understanding the end-users: both patients and healthcare workers. This meant ensuring that healthcare providers could easily manage their availability through a dynamic calendar while patients could effortlessly book appointments based on the doctors' schedules.

By deploying a smart scheduling system, we reduced patient wait times, minimized cancellations, and decreased healthcare providers' administrative workload.

2. Online couples therapy platform

In therapy, especially when it comes to mental health services, security is paramount. Our client approached us with the goal of creating a secure, user-friendly platform that would offer online therapy for both couples and individuals. They needed a solution that could not only protect sensitive user data but also build trust among users by being easy to navigate and highly functional.

One of the key challenges we faced was finding a balance between ease of use and data security. Therapy, while personal and often intimate, doesn’t always require the long-term storage of sensitive information like medical history does. Our task was to develop a system that allowed for quick rescheduling or session adjustments without retaining more data than necessary. This ensured user privacy while keeping the platform agile and responsive.

We developed a solution that provided various communication tools to increase user engagement while maintaining transparency in how data was handled. Additionally, we integrated features such as e-signatures, making the platform compliant with necessary legal frameworks and enhancing the experience for both therapists and clients.

By focusing on simplicity and security, we helped our client create a platform that not only met the practical needs of therapy sessions but also established a sense of safety and reliability for users.

3. Online therapy service for adolescents

Moving from couples therapy to adolescent mental health posed a new set of challenges, especially with legal considerations. Our client aimed to develop a platform that catered specifically to adolescents, providing online therapy services in a way that was both engaging and compliant with strict legal requirements around minors’ privacy.

One of the main concerns was how to balance the need for parental oversight with the adolescent's right to confidentiality. Adolescents using the platform needed the space to access mental health support autonomously, while parents had to be assured that their children’s well-being was being monitored.

We tackled this by designing a solution that struck this delicate balance. Using Ruby on Rails, REST API, MySQL, GraphQL, JavaScript, and other technologies, we built a platform that allowed parents to monitor the overall progress of their child’s therapy without intruding on personal details shared during sessions. The system provided parental controls while safeguarding the adolescent's privacy.

By ensuring compliance with legal standards and focusing on user experience, we delivered a platform that allowed adolescents to access mental health care with the privacy they needed while giving parents the reassurance they required.

4. Optimizing the digital patient intake process

In modern healthcare, a streamlined digital patient intake process is essential. It not only saves time but also enhances accuracy, reduces manual errors, and improves overall patient care. Our client approached us seeking to simplify and accelerate the creation, validation, and customization of medical questionnaires. Their goal was clear: improve the efficiency of data collection while maintaining the highest standards of patient care.

The client had previously worked with other development teams, but the solutions they received were overly complex, trying to address too many problems at once without delivering fast, practical results. What they needed was a more focused, straightforward approach that would work reliably in day-to-day operations.

We optimized their existing system by digitalizing the patient intake process. Using technologies like PHP, Symfony, TypeScript/JavaScript, NextJS, Angular, and Ruby on Rails, we developed a solution that enabled the rapid creation and management of medical questionnaires. This allowed healthcare providers to gather the necessary information from patients efficiently and accurately.

The impact was significant—what once took days to complete could now be done in just a few hours.

Expedoc - Optimizing healthcare administration

According to a Medscape report, physicians spend an average of 15.5 hours per week on administrative tasks. While reducing this time is a hot topic in healthcare, it’s crucial to remember that administration serves an essential role—ensuring accuracy, compliance, and continuity in patient care.

Could you imagine if healthcare workers didn’t handle any administrative tasks? While it might seem ideal, administration plays a crucial role in maintaining patient safety, ensuring compliance, and organizing care delivery. The key isn’t to eliminate these tasks, but to streamline them, reducing the time they take and allowing healthcare workers to focus more on patient care.

Expedoc, our SaaS product, addresses this challenge. Its AI-powered scheduling module automates much of the appointment-setting process by analyzing patient requests, cross-referencing doctor availability, and filling out necessary forms. This significantly reduces the time spent on scheduling while ensuring healthcare staff retain control through final review and approval.

Coverage Compass - Making health plans transparent

In America, health insurance is one of the few products you purchase without knowing exactly how much you’ll end up paying. A study shows that 22% of insured Americans struggle to navigate, understand, or anticipate their health insurance costs, while 39% don’t fully grasp what their plan covers.

Imagine walking into a doctor’s office without knowing what you’ll be charged, or even worse, not understanding your coverage at all. That's the problem we set out to solve with Coverage Compass—a product designed to make health plans more transparent and easier to understand.

Coverage Compass is built for brokers, consultants, and employee groups. It allows them to securely preload health plans for members, or members can upload their own plans if needed. Our system scans these documents, extracting critical information like coverage details, deductibles, and co-pays so users can clearly understand what’s covered and what they owe.

Looking ahead, we’re excited to expand the platform. Next year, users will be able to scan their printed health plans directly from their mobile phones and compare multiple plans side by side, helping them make more informed decisions.
